Job Description

Job Overview
We are currently seeking a detail-oriented and highly organized Administrative Assistant to provide crucial support to our office operations. The ideal candidate will demonstrate proficiency in computer skills, possess exceptional communication abilities, and have prior experience in office management. Key responsibilities include delivering administrative support across various departments, ensuring seamless daily operations, and providing excellent customer service. Proficiency in multiple languages is considered advantageous for this role.

Job Type: Temporary

Location: Oshawa, ON

Pay Rate: $20.00/hour

Hours: 5:30am - 2:00pm (Flexible to work extended hours as needed)

Duties

  • Efficiently manage all administrative tasks, including greeting visitors and handling phone systems professionally
  • Perform data entry, filing, and document proofreading to maintain accurate records
  • Utilize Microsoft Office Suite and Outlook for document preparation, email correspondence, and scheduling activities
  • Support office management functions such as file maintenance, supply oversight, and general administrative operations management
  • Provide outstanding customer service through phone and email, responding to inquiries promptly and courteously

Job Requirements

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Experience with QuickBooks or similar bookkeeping software is preferred
  • Excellent communication skills with professional phone etiquette; bilingual abilities are advantageous
  • Ability to handle multi-line phone systems and provide exceptional customer service
  • Strong typing skills and computer literacy; familiarity with office management and clerical tasks
  • Previous experience in medical or dental reception is a plus; experience as a personal assistant or in customer support is beneficial
  • Demonstrated time management skills to prioritize tasks effectively and meet deadlines
  • High school diploma or equivalent required; additional administrative certifications are a plus
  • Must be legally eligible to work in Canada and able to work full time hours as required by this position.
